Newsletters

Through myHarmony you can have multiple newsletters, each with a mailing list. These newsletters will need to be set up by Harmony to have a template. A standard newsletter template can be set up on request, and used for more than one newsletter. Additionally, you can have custom newsletter templates, tailored to each mailing list.

It is recommended that when your mailing list grows in excess of 10,000 members, that it is split, or Harmony work with you to find a better solution for large volume mass mailing.

You may only send a newsletter once per day.

Ensure your company has a suitable email for broadcast, and that you can handle the potentially high levels of bounce backs or 'mail undeliverable' automatic notifications caused by incorrect or dead email addresses each broadcast.

Selecting a Newsletter

Click on Marketing - Newsletter and you will be presented with a list of newsletter templates that have been prepared for you.

If you do not see a newsletter, please contact support@harmony.co.uk to request one to be set up.

Select the template you want and the next screen will provide you with options.

Basic Newsletter Options

Once you have selected a newsletter, you can perform a variety of tasks.

Compose

This option allows you to begin a new newsletter issue, and opens the editor.

Type the content of your email into the editor.

NB: if you have written your email in a word processor, such as Microsoft Word, for best results, open notepad on your computer (Programs, Accessories) and paste your text in there first. Then, reselect all the text in notepad, and copy, then paste into your email. This process removes any unnecessary formatting which may break your newsletter.

Now, use the tools in the editor to format your newsletter, remembering to press save regularly to ensure you don't lose your work.

To add an image, you need to upload it into your library by clicking "upload an image". When the image is in your library, it appears as a thumbnail beside the editor. To use the image, click on the thumbnail. The image will appear in the preview pane below. Drag the big image in the preview pane into the email where you'd like the image.

When you are happy with your email, give it a subject in the Email Subject box underneath the editor, and press preview.

Preview will put your text into the newsletter template, and display it in the box below.

If you are happy with the preview, click save. The preview will disappear and a box will ask you to send yourself a test.

Click send me a test.

The next screen shows a box that says Email Address and it will have prefilled the email address you signed in with. Click Send Test button below to continue. Keep this window open.

A test will arrive in your inbox which you should check very carefully, including links.

Click the link in MyHarmony to continue to the broadcast screen. (You still have an option to stop before it begins sending).

Click that you have received your test and wish to broadcast.

Keep this window open, a large broadcast may take 30 minutes to an hour.

The broadcast will commence and myHarmony will begin to list email addresses, in a list that you can scroll down. When the broadcast completes, myHarmony will list how many people it has broadcast to, and you can safely close the window. Closing the window before this will interrupt the sending and your broadcast will be incomplete.

Search Subscribers

Want to check if a particular person is subscribed to your newsletter? This tool allows you to search.

Presents you with a search box, simply type in a plain English logical expression using the operators "AND", "NOT" and "OR" for instance "sarah or john not yahoo". If the subscriber(s) is/are found, you have the option to unsubscribe them.

Download Subscribers

Download a CSV file of all your subscribers at that moment. The file can be viewed in Microsoft Excel and other applications.

Subscribe/Unsubscribe

Manually subscribe or unsubscribe emails one by one.

Upload an email address list of subscribers

This must be in CSV format, preferably one column list in excel, and then use "save as" to locate csv format. If you are having trouble formatting your list or uploading, please contact support@harmony.co.uk with the file you are uploading attached.

Any email addresses in the file which already exist on the system are reported onscreen.

Bulk Unsubscribe

Unsubscribe a long list of people from your newsletter by uploading a file, see previous option for more details on how to make this file.

myHarmony will report line by line how this progresses, and reports on success.

Newsletter History

Provides a basic history of newsletters sent out.

Add image to library

Shortcut to uploading a picture to use in your newsletter.

Delete ALL subscribers

Will wipe all the subscribers in your list. Use with caution, your list is non-recoverable!

List of saved newsletters

Appears below all the option in a table. Enables you to re-use content and edit it for other newsletters. You can view (use) or delete items of saved content.
